Help Centre Office Sales Invoice

Introduction

Sales invoice is where you can process sales, in the office part of the software, as oppose to using the POS.

This will produce an A4 Invoice you can print.

Settings

Before starting a sales invoice, you should check the sales settings, by pressing settings .

Sales BranchThe setting of what branch you want the sales to record against.
Stock Branch The setting of what branch you want the stock to reduce from. This can be different to the sales branch.
Always Track Sale If this is ticked, it will ask you to track the sale against a customer.
Check Stock On Import If this is ticked, any stock imported, if there is no stock, it will ignore it.
Print Standard Layout If this is ticked, when you press finalise it will produce an A4 Invoice that you can print.
Use Wholesale Prices Will use the wholesale price that is set in Style File.

Creating A Sale

Scanning the Items

Press the barcode icon  and scan all the items you wish to sell and press ok. They will now show in the grid.

Finding the items

Press add  and use the advance search to find your item.

When you have an item selected, on the top grid this is your current stock levels and in the bottom grid is where you can type in what quantity’s you want to sell.

You can continue to add multiple items until you are finished.

Importing CSV File

You can import a CSV file, by pressing import .

  • File browse to the file and press open.
  • On the import CSV screen, you will need to map the PLU/Barcode column and Quantity column (if available).
  • Pressing import will import the items.

Sale Functions

You can delete, return items and change the quantity and price.

Delete ItemHighlight the item and right click. Press delete.
Return ItemHighlight the item and right click. Press return.
Return All Right click, press return all.
Change PriceHighlight the item and click on its unit price. Select a discount reason and enter the sale price.
Change QtyHighlight the item and click on Qty. Enter the quantity and press ok.
Load Transaction You can load a previous transaction by right clicking and pressing load transaction. Scan the transaction barcode or enter the transaction number.

To save the sale, you need to finalise it.

Finalise

On finalise, this will give you a subtotal and allow you to add on any delivery charges, or set the sale as tax free.

You will need to enter a payment, by clicking the payment of choice and entering the payment amount.

You can split the payment over multiple payment methods.

To save the sale, press save .

Depending on your settings, either an A4 invoice will now generate, that you can print. Alternatively to view or print the invoice these can be found in the journal.
