Start off by following our step-by-step videos and guides to start your system set up.
For the initial system set up, we would recommend firstly filling in the settings for:
- Company Information
- Product Settings
- POS Settings
- Customer Settings
You can find these under settings and then setup.
Company Information:
Company:
Here is where you can populate your company information such as company name, company number and VAT number.
Branches:
This is where you fill in your shops address and telephone numbers to print on your store receipts.
Branches are controlled by Fashione, if you need more branches please contact us.
VAT Rates:
This is where you add your VAT Rates.
Setting a VAT Rate to default, automatically fills in the VAT rate in styles file.
Currency:
This feature is only required for stores that take multiple currencies, such as stores in Northern Ireland. You can set your EUR rate here.
Products Settings:
Most of the product setting screens have the same buttons.
- Single Add
- Multiple Add
- Edit

Press add
to add a setting. Insert the name and press save
.
To edit a setting click on the setting you would like to edit and press edit
. Once edited, press save
.
To add multiple settings at once, use multiple add
. Enter one per line and press ok.
Brand:
Here is where you add your brands.
Code/Reference – End of life, please do not use.
Setting a brand to default, automatically uses the default brand, in styles file.
Setting the brand to website yes, automatically sets the website option to yes in styles file. Delete brand is available if you have security.
Colours:
Here is where you can add your colours.
Base colour is used for some website integrations. It is to group unusual colour names to the correct colour group.
Delete colour is available if you have security.
Sizes:
Sizes is used to add the different size scales that you will need when creating products. The size scale needs to exist before creating a product.
- Press add
and insert the name of your size scale. - For the size name, this is where you add in the sizes individually.
- You start with the smallest size first, for this example we are going to do UK Ladies 6-18. Type 6, then press enter or add. This will add the first size.
- Then enter the next size 8, then press enter or add. This will add the second size.
- This is now building the size scale. Repeat until all available sizes are added.
If you make a mistake whilst creating the size scale (before saving):
- To edit the size name, select the size, change the size name and press edit
. - To delete a size, select size and press delete
.
If you make a mistake whilst creating the size scale (after saving):
- Select the size scale and press edit
. - To edit the size name, select the size, change the size name and press edit
. - Delete is not possible after saving.
Tips:
- Always do your size scales from smallest size to largest
- Before saving, check your size scale is correct and all sizes exist before saving.
Example of Size Scales:
You can have as many size scales as you wish. Each size scale can have a maximum of 99 sizes.

Seasons:
Here is where you can add your seasons.
Examples such as AW23, SS24.
For non-seasonal items you can used NOS or CORE.
Code/Reference – End of life, please do not use.
Setting a season to default, automatically uses the default season in styles file and purchase orders.
Delete season is available if you have security.
Suppliers:
Here is where you add your suppliers.
Suppliers can sometimes be the same as brands.
As an example, the brand ‘Timberland’ maybe supplied by ‘UK Distributor’. Where brand ‘Barbour’ maybe supplied by ‘Barbour’.
In supplier you can add the suppliers address, returns address and supplier terms.
Categories, Department & Subdepartment.
Categories, departments and subdepartments are linked together. Category is the top level, and this then breaks down into departments and sub departments.
Its important to think about how you want your categories, departments and subdepartments.
Here are two examples:
Example 1: Only sells womenswear, . The categories will be clothing, footwear and accessories.
Breaking down clothing into departments such as dresses, trousers, t-shirts.
Example 2: Sells menswear and some childrenswear. The categories will be menswear and childrenswear.
Breaking menswear into t-shirts, jeans, jackets and so on.
Categories and departments are the levels you can report on most. Fewer reports do have subdepartment options.
Departments VAT Rate
On the POS there is an open department feature where you can sell miscellaneous/non-product items. It is important to set your departments up with a VAT rate, so your miscellaneous or non-product sales record with the correct VAT Rate.
You can set the VAT rate by going into departments.
- Select your category.
- Select your department.
- Press edit
, set a VAT rate and press save
.
POS Settings
POS settings are the settings for your tills.
Discounts
Here is where you can set up discount percentages. The top three buttons are the same. Single Add
, Multiple Add
and Edit
.
Add a discount name and set the rate.
Example:
Name: 20%
Rate: 20
Other Tenders
Other tenders are where you set up other payments you might take at the till, such as PayPal and bank transfer.
In Fashione, the following payment tenders are default.
- Cash
- Card
- Credit Note
- Gift Vouchers
Additional CRM (Not Standard Payment Types):
- CRM Accounts
- Layovers
- Orders
Other payment tenders you set up will be under other on the POS.
Reasons
You can create reasons for till functions such as discounts, no sales, pay outs, pay in’s, returns and transfers. Select the reason group first, and then press add
or multiple add
.
Example 1 :
In the drop-down box, Item Discount is selected.
Reasons Examples:
- Sale Item
- Good Will
- Faulty/Marked
- Promotion
Example 2 :
In the drop-down box, return to stock is selected.
Reasons Examples:
- Exchange
- Unwanted Gift
- Wrong Size
Receipt Editor
Receipt editor is where you can customise your receipts.
Select the branch you want to edit, by default the standard sales receipt is selected in the drop-down box.
Header – Text typed here will print on the top of the receipt. You do not need to add the address here as the receipt uses the address information that is in branches.
Example Header:
Thanks for shopping with us! Follow us on social media for exclusive offers and new stock.
Footer – Text typed here will print on the bottom of the receipt. This is a good place to put your terms of sale.
When you have finished adding your information you need to press save
, before moving on to additional branches, logos, or receipt types.
On the drop down we have the following receipts
- Standard
- Credit Note
- Gift Voucher
- Account
- Layover
- Customer Order
On the logo tab, this is where you can upload a logo to print on your receipt.
Logo Requirements:
It needs to be black and white, a BMP file type, and no larger than 512 pixels wide.
Our support team can modify your logo to meet these requirements. Email your logo across to support@fashione.co.uk.
If you have multiple branches and want the receipt information copying to the other branches you can apply the current branch settings to all shops, by pressing copy to all branches
.
Charges
Charges are only used if you have the alterations package. Here is where you can set up default charges for alterations and add a cost and retail price for them.
Customer Settings
Marketing
Marketing is where you add your marketing consent options when collecting customer details, in line with GDPR regulations of how you use, process, and store your customers personal details.
For example, when collecting customer details, if you are going to use their email address to market to them, you need a marketing consent option for this.

Interests
Interests allows to create you interest groups for customers. By assigning them an interest in their customer profile.
Measurements
Measurements are only used if you have the alterations package. Measurements allows you to create default measurements you would take from a customer when doing an alteration. These will be visible when entering an alteration through the POS.
